Simplifying Scheduling for Bank Holidays and Special Events
One of the most frequent requests we receive at our service desk involves scheduling changes to accommodate Bank Holidays or Training Days. These are times when the usual operation of the telephone system is disrupted because the regular staff who answer incoming calls are away, unavailable or otherwise engaged.
Additionally, many of our clients operate out-of-hours support services, such as Fire Protection Companies, Doctors’ Surgeries, and Trade Companies.
While we are always happy to make the necessary programming changes when requested, many clients prefer to handle these adjustments themselves once they realise how straightforward it is.
To facilitate this, we can set up a scheduling assistant. This tool allows clients to log into their online portal and schedule events for specific times and dates. The system can then operate in an automatic pre-programmed mode, forward calls to offsite staff, or even direct them to an out-of-hours answering service.
As an example, our Theatre clients use this feature to manage their booking offices during busy times, especially when new performance schedules are released and inbound call volumes can surge.
Interestingly, some clients use the scheduling assistant in unexpected ways. For example, during the Olympics or a major Football Tournament, when call response times might not be as prompt as usual, the tool ensures that calls are still managed efficiently.
